            Identity and Citizenship Verification

            New UC students and returning UC students last enrolled before 1990, may be required to provide evidence of identity and citizenship/residency status.

            Matching through the National Student Index (NSI)

            After we receive your application to enrol through myUC, we will try to match your name, date of birth and citizenship or residency stattus against the NSI using your National Student Number (NSN).

            If you do not have an NSN, or we are unable to match your details, you may be asked to provide certified documents to verify your name, date of birth, and citizenship or residency status.

            Only original or certified true copies of required documentation will be accepted. If English translations are necessary they should be certified translations.

            You are able to bring an original citizenship document or international academic transcript (for qualifications achieved outside New Zealand) for copying and certification to the Student Services Centre (Level 1, Matariki). 

            If sending documents by post, please send certified hard copies rather than original documents as they will not be returned. Each copy must be certified as a true copy of the original document and must be dated and signed by someone with statutory authority (as listed below). Uncertified photocopies will not be accepted.

            Documents may be certified as true copies by:

            In New ZealandIf Overseas
            New Zealand Justices of the Peace (JPs) New Zealand Embassy/High Commission or Consulate staff
            Solicitor Australia Justice of the Peace
            Court Registrar or Deputy Registrar Notary Public
            Notary Public Apostille
            Your school principal, if you are a secondary school student Solicitor
            An official of the institution that issued the original document  
            University of Canterbury staff member  

            NOTE: Please note that we will not return any original academic/grade documents that you have sent to us. Once they have been sent to us they become property of the University of Canterbury.

            Certified documents will not be accepted by:

            • Police Officers
            • Bank manager
            • WINZ
            • Legal executive
            • StudyLink
            • Medical professionals
            • Your employer

            In order for UC to verify your legal name, date of birth and citizenship status, you need to either:

            1. present your original identification documents such as your birth certificate or relevant pages of your passport in person at Student Services, Level 1 Matariki or
            2. send us certified hard copies of your identification documents by post or courier (address details given below). 

            Please note, we cannot accept identity documents that are uploaded to your myUC application or emailed through to us as a scanned copy.  Only originals or certified hardcopies will be accepted. 

            This is a strict UC requirement; if you do not present your original identification documents in person, or send us approved certified hardcopies, you should expect to experience delays in enrolling and starting your studies.

            What will I need to provide UC if I can't be matched?

            New Zealand (NZ) born citizens or Australian citizen

            If you are a NZ or Australian citizen, and have never changed your name, you will need to:

            • provide your official passport (or a certified hardcopy of the photo page of your passport showing your name and other details) or
            • provide your official citizenship certificate (original or certified hardcopy) or
            • provide your official birth certificate (original or certified hardcopy)

            If you are a NZ residence class visa holder, an Australian citizen or an Australian permanent resident you will be considered a domestic student for tuition fees provided you are residing in New Zealand for the period of your study.

            **You are able to present original documents or certified hardcopies at Student Services, Level 1 Matariki

             If you are a New Zealand citizen born in the Cook Islands, Niue or Tokelau, you must supply a New Zealand passport or a birth certificate that meets the following requirements:

            • Cook Islands: your full birth certificate with RG6 shoulder number at top left and place of birth stated as a place in the Cook Islands (original or certified hardcopy)
            • Niue: your full birth certificate with place of birth stated as a place in Niue (original or certified hardcopy)
            • Tokelau: your full birth certificate with place of birth stated as one of the three islands of Tokelau (original or certified hardcopy)

            Note: A copy of your driver’s licence will not be accepted as it does not provide evidence of your citizenship or residency status.

            **You are able to present original documents or certified hardcopies at Student Services, Level 1 Matariki

            If you are a New Zealand or Australian permanent resident, and have never changed your name, we will require:

            • your original passport (or a certified hardcopy of the photo page of your passport showing your name and other details) and either
            • A certified hardcopy of your residence visa label or appropriate documentation confirming you have been granted an electronic visa (eVisa) (New Zealand residents only) or
            • A confirmation email sent directly from the Visa Entitlement Verification Online (VEVO) service that you have been granted an electronic visa (eVisa) (Australian permanent residents only).

            If you are a NZ residence class visa holder, an Australian citizen or an Australian permanent resident you will be considered a domestic student for tuition fees provided you are residing in New Zealand for the period of your study.

            **You are able to present original documents or certified hardcopies at Student Services, Level 1 Matariki

            If you hold refugee status, you must provide the original or a certified copy of the letter from the Immigration Service giving you entitlement to reside in New Zealand or Australia.

            *Note: A copy of your driver’s licence will not be accepted as it does not provide evidence of your citizenship or residency status.

            **You are able to present original documents or certified hardcopies at Student Services, Level 1 Matariki

            If the name on the NSI, your birth certificate, passport or citizenship certificate differs from your current name, or the name in which you gained any qualifications relevant to your admission, you must also provide a certified copy of one or more of the following as formal evidence of each change:

            • A new NZ birth certificate that shows your new legal name (individuals born in NZ)
            • An official Name Change certificate (individuals not born in NZ)
            • Marriage or civil union certificate
            • Certificate of dissolution of marriage or civil union
            • Deed poll
            • Statutory declaration issued by Registrar of Births, Deaths and Marriages.

            *Note: Any document containing a change of name must include both your previous name and the new name.

            **You are able to present original documents or certified hardcopies at Student Services, Level 1 Matariki

            If your status has changed because you have been granted a NZ Residence Class Visa, you will need to provide:

            • your original passport (or a certified hardcopy of the photo page of your passport showing your name and other details) and either
            • A certified hardcopy of your residence visa label or
            • Appropriate documentation confirming you have been granted an electronic visa (eVisa) (New Zealand residents only)

             If your status has changed because you have been granted a NZ Citizenship, you will need to:

            • provide your official NZ passport (or a certified hardcopy of the photo page of your passport showing your name and other details) or
            • provide your official NZ citizenship certificate (original or certified hardcopy)

            If your status has changed because you have been granted an Australian Residence Class Visa, you will need to:

            • your original passport (or a certified hardcopy of the photo page of your passport showing your name and other details) and
            • A confirmation email sent directly from the Visa Entitlement Verification Online (VEVO) service that you have been granted an electronic visa (eVisa) (Australian permanent residents only).

            If your status has changed because you have been granted Australian Citizenship, you will need to:

            • provide your official Australian passport (or a certified hardcopy of the photo page of your passport showing your name and other details) or
            • provide your official Australian citizenship certificate (original or certified hardcopy)

             Please note, if you initially enrol as an International student at UC, and subsequently are granted domestic status (residence class visa and/or citizenship), please provide the relevant evidence outlined above.  Any potential refund of tuition fees due to such a change in status, is guided by Fees and Fines Regulations 5(b)

            All international students are required to enrol in person on campus.  When you present your original passport and student visa (label or electronic visa) for the first time, we will either match you details to the NSI or create a NSN in your behalf.
